Motoplus is a product operated by Soltra Studio, based in North Coast, Northern Ireland.

For the purposes of UK data protection law, Soltra Studio is the data controller for personal information collected directly through the Motoplus website and in connection with our business relationship with you.

For privacy or data protection enquiries, email info@moto-plus.co.uk .

This may include:

  • IP address

  • Date and time of visits
  • Website interaction and performance information

More information is available in our Cookie Policy.

03

04

Our lawful bases for using personal information

UK data protection law requires us to have a lawful basis for processing personal information.

Depending on the circumstances, we may rely on:

Contract

Where processing is necessary to provide Motoplus to you, manage your account, provide support or take steps you have requested before entering into an agreement.

Legitimate interests

Where processing is reasonably necessary for the operation and development of Motoplus or Soltra Studio, provided those interests are not overridden by your rights.

This may include:

  • Responding to business enquiries
  • Improving our website and services
  • Maintaining website and service security
  • Managing customer relationships
  • Keeping appropriate business records

Legal obligation

Where we are required to process information to comply with a legal, tax, accounting or regulatory requirement.

Consent

Where we specifically ask for your consent, including certain types of electronic marketing or cookies where consent is required.

Where processing is based on consent, you can withdraw that consent at any time.

05

Marketing communications

We may occasionally contact existing customers or people who have shown an interest in Motoplus about relevant services, features or updates where permitted by law.

Where consent is required, we will ask for it before sending marketing communications.

You can opt out of marketing communications at any time by using the unsubscribe option provided or by contacting info@moto-plus.co.uk .

Service messages relating to an active Motoplus account are not marketing communications and may still be sent where necessary.

06

Motoplus Social and Facebook

Motoplus includes an optional Facebook integration known as Motoplus Social.

This allows a dealership to connect its Facebook Page to Motoplus so vehicle information and dealership content can be published to that Page.

When a dealership connects Facebook, Motoplus may receive information from Meta that is required to establish and maintain the connection.

This may include:

  • Facebook Page name
  • Facebook Page ID
  • Page access token
  • Connection and permission information required by Meta

Motoplus Social is designed so that these connection details are stored within the individual dealer's own WordPress website database.

Motoplus does not operate a central database containing every dealer's Facebook Page access tokens.

The Page access token is used only to perform actions authorised by the dealership through Motoplus, such as publishing approved vehicle-related content to the connected Facebook Page.

The token is not sold or used for advertising purposes.

A dealership can disconnect its Facebook Page from Motoplus at any time.

Disconnecting the account removes the stored Facebook connection details from the dealership's WordPress database.

Removing Motoplus through Facebook's Apps and Websites settings will also revoke Motoplus's access on Meta's side.

Previously published Facebook posts are not automatically removed when the connection is disconnected. These can be managed directly through the dealership's Facebook Page.

More information is available on our separate Data Deletion Instructions page.

Meta may independently process information according to its own privacy policies when you use Facebook or connect a Facebook account.

07

Dealer customer information

Motoplus may allow dealers to receive or manage customer enquiries through their own dealer website.

Where a dealership uses Motoplus to collect information from its own customers or prospective customers, the dealership will normally be responsible for deciding how that information is used.

In these circumstances, the dealership may act as the data controller and Motoplus or Soltra Studio may act as a service provider or processor where appropriate.

Dealers are responsible for ensuring that their own website privacy notices accurately explain how they collect and use customer information.

We do not use a dealer's customer enquiry information for our own unrelated marketing purposes.

08

Who we may share information with

We only share personal information where reasonably necessary to operate Motoplus, provide our services or comply with the law.

This may include:

  • Website and hosting providers
  • Email and communications providers
  • Website form or customer-management services
  • Payment and accounting providers
  • Technical service providers
  • Security and analytics providers
  • Meta, where a user chooses to connect Facebook
  • Professional advisers such as accountants or legal advisers
  • Government, regulatory or law-enforcement bodies where legally required

Where another organisation processes personal information on our behalf, we take reasonable steps to ensure appropriate protections are in place.

We do not sell or rent personal information to third parties.

09

International data transfers

Some technology providers used to operate Motoplus may process information outside the United Kingdom.

Where personal information is transferred internationally, we take appropriate steps to ensure the transfer is made in accordance with applicable UK data protection requirements.

This may include using recognised adequacy arrangements or appropriate contractual safeguards.

10

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

The length of time may depend on the type of information and our relationship with you.

For example:

  • Enquiry information may be retained while an enquiry is active and for a reasonable period afterwards.
  • Customer information may be retained for the duration of the customer relationship and afterwards where necessary for support, dispute resolution, accounting or legal obligations.
  • Financial and transaction records may be retained for the period required by applicable tax and accounting rules.
  • Support correspondence may be retained where necessary to maintain an appropriate record of the service provided.
  • Facebook Page access tokens and connection details are retained on the dealer's website while the Facebook connection remains active and are removed when the dealer disconnects the integration.

We periodically review information we hold and delete or anonymise information when it is no longer required.

11

How we protect information

We take reasonable technical and organisational measures to protect personal information against:

  • Unauthorised access
  • Loss
  • Misuse
  • Alteration
  • Disclosure
  • Destruction

No website or internet transmission can be guaranteed to be completely secure, but we take appropriate steps to reduce risks and protect the systems we operate.
